Terms of Service

Effective date: 24 April 2026. These terms govern your use of DailyLife.UK, operated by Andrea Technology Solutions Ltd. By creating an account or using the service, you agree to these terms. Please read them carefully.

1. Parties and scope

These terms form a contract between you (“you”, “your”) and Andrea Technology Solutions Ltd, a company registered in England and Wales (“we”, “us”, “DailyLife.UK”).

These terms apply to:

  • B2B subscribers: organisations (care homes, hospitality businesses, retailers, and similar) that subscribe to a paid plan to manage their workforce.
  • B2C individual users: individuals who create a free personal account for reminders and personal workforce features.
  • Staff users: individuals who access DailyLife.UK through an invitation from a subscribing organisation.

If you are accessing the service on behalf of an organisation, you represent that you have authority to bind that organisation to these terms.

2. Service description

DailyLife.UK is a staff management and content workflow platform that provides:

  • Rota scheduling and timesheet management
  • Leave and absence management
  • Document storage and compliance record-keeping
  • Training record management
  • Performance appraisal workflows
  • CMS content workflow (gallery, events, careers) with HMAC-signed webhook publishing
  • AI-assisted features (on Enterprise plan) including document summarisation and shift anomaly detection
  • Web push notifications for shift reminders and operational alerts

Feature availability depends on the plan to which your organisation is subscribed. We reserve the right to modify, add, or remove features with reasonable notice.

3. Account registration and security

  • You must provide accurate and current information when registering.
  • You are responsible for maintaining the confidentiality of your password and for all activity under your account.
  • You must notify us immediately at support@dailylife.uk if you suspect unauthorised access to your account.
  • Owner and manager roles are required to enable two-factor authentication (2FA). This is a condition of access to those roles, not an option.
  • You may not share your account credentials with others. Each staff member must have their own account.
  • You must be at least 16 years of age to create an account.

4. Subscriptions and billing (B2B)

The following applies to B2B organisations on paid plans. B2C free-tier individual accounts are free with no billing obligations.

  • Plans: Advanced (per-user, monthly or annual billing) and Enterprise (custom pricing). Plan details and current prices are shown on the pricing page.
  • Billing cycle: Monthly plans are billed on the same date each month. Annual plans are billed annually in advance at a discounted rate.
  • Payment: Payments are processed by Stripe Payments Europe Ltd. We do not store your card details.
  • Per-user pricing: You are billed for each active user in your organisation at month end. You may deactivate users at any time; billing adjusts from the next cycle.
  • Free trial: Where a trial period is offered, no payment is required until the trial ends. You may cancel during the trial at no cost.
  • Cancellation: You may cancel your subscription at any time from the billing settings. Access continues to the end of the paid period. No refunds are issued for partial periods except where required by law.
  • Price changes: We will give at least 30 days’ written notice of any price increase. Continued use after the notice period constitutes acceptance.
  • Late payment: Accounts with outstanding invoices may be suspended after 14 days. Data is retained for 30 days after suspension before deletion.

5. Free tier (B2C individual accounts)

  • Individual free accounts give access to personal reminders, identity management, and basic workforce features.
  • If your employer subscribes to DailyLife.UK, your account will automatically unlock the corporate features relevant to your assigned role at no charge to you.
  • We reserve the right to modify or discontinue free-tier features with 30 days’ notice.

6. Acceptable use

You agree not to use DailyLife.UK to:

  • Upload or publish content that is unlawful, defamatory, obscene, or infringes any third party’s rights.
  • Publish identifiable images or details of care-home residents without their documented consent.
  • Attempt to gain unauthorised access to other users’ accounts, other organisations’ data, or the platform infrastructure.
  • Use automated bots, scrapers, or scripts against the platform without our prior written consent.
  • Introduce malware, viruses, or other malicious code.
  • Circumvent, disable, or interfere with security controls, including row-level security policies.
  • Use the service in a way that violates applicable UK law, including the Data Protection Act 2018, UK GDPR, or sector-specific regulation applicable to your industry.

Violation of this section may result in immediate account suspension or termination without notice or refund.

7. Content and data ownership

  • You retain ownership of all content and data you upload to DailyLife.UK.
  • You grant us a limited, non-exclusive licence to store, process, and deliver your content solely for the purpose of providing the service.
  • When you publish CMS content via HMAC-signed webhook to your connected website, you are responsible for ensuring that content is lawful and that any required consents are in place.
  • We do not use your content to train AI models or for any purpose beyond operating the service you subscribed to.

8. Data processing and privacy

Our use of your personal data is described in our Privacy Notice. For B2B customers, we act as a data processor for your staff and operational data and will execute a Data Processing Agreement (DPA) on request. Send DPA requests to hello@dailylife.uk.

9. Availability and service levels

  • We aim to provide a reliable service but do not guarantee uninterrupted availability.
  • We will give reasonable advance notice of planned maintenance where possible.
  • Enterprise customers may request a separate Service Level Agreement (SLA) through their account manager.
  • We reserve the right to take the service offline for emergency security patching without advance notice.

10. Intellectual property

All software, design, trademarks, and documentation comprising DailyLife.UK are the property of Andrea Technology Solutions Ltd or its licensors. You are granted a limited, non-transferable licence to use the service for its intended purpose. You may not copy, modify, distribute, reverse-engineer, or create derivative works from any part of the platform.

11. Limitation of liability

To the maximum extent permitted by English law:

  • Our total aggregate liability to you for any claims arising under these terms is limited to the total fees paid by you in the 12 months preceding the event giving rise to the claim.
  • We are not liable for indirect, consequential, incidental, or special losses, including loss of profits, loss of data, or reputational harm.
  • Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under English law.
  • You are responsible for maintaining your own backup copies of critical data. We provide platform-level backups for disaster recovery purposes only, not as a substitute for your own business continuity measures.

12. Termination

  • By you: You may close your account at any time from account settings or by contacting support@dailylife.uk.
  • By us: We may suspend or terminate your account immediately for material breach of these terms, non-payment, or if required by law. For non-material breaches, we will give 14 days’ notice to remedy.
  • Data on termination: After account closure, your data is retained for the statutory minimum period and then deleted. You may request an export of your data before closure.
  • Sections 7, 10, 11, 13, and 14 survive termination of these terms.

13. Changes to these terms

We may update these terms at any time. Material changes will be notified by email at least 14 days before they take effect. If you do not agree to the updated terms, you may close your account before the effective date. Continued use after the effective date constitutes acceptance. The effective date at the top of this page is updated on every revision.

14. Governing law and disputes

These terms are governed by and construed in accordance with the laws of England and Wales. Any dispute arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where mandatory consumer protection laws in your jurisdiction provide you with additional protections that cannot be waived by contract.
